Bringing all your addresses together in a single piece of software: that is Mailbird's promise, and it appeals to many freelancers and SMEs on Windows. Yet sync bugs, licenses with shifting terms and hard-to-reach support are pushing some users to look for another tool.

Before choosing, one question changes everything: do you only want to switch email clients, or switch mailboxes, and therefore hosting providers? This comparison reviews five European solutions, from desktop software to hosted email services, with their strengths and documented limitations.

Wimi: the sovereign French collaborative suite

Mailbird displays mailboxes hosted by other providers. Wimi provides the mailbox itself: Wimi Mail is a business mailbox hosted in France that works with your own domain names.

A French vendor founded in 2010, Wimi develops and hosts its services in mainland France, outside the reach of the Cloud Act and FISA.

An email service that fits your habits

Wimi Mail supports IMAP and SMTP: your teams can keep using it in Outlook, Thunderbird or Apple Mail. On the go, the Wimi Inbox app works on iOS and Android.

The email service and its apps come from the same vendor, with no third-party software layer between the server and the interface.

What Mailbird doesn't do

From your inbox, you can turn an email into a task, save an attachment to the Drive or set up an AirTime video conference. The AI assistant Wimi Neo summarizes long emails, corrects spelling and rephrases your replies.

These features rely on a sovereign collaborative solution, where Mail, Drive, Chat, AirTime and Calendar share the same environment.

ANSSI-qualified security

On May 18, 2026, Wimi obtained ANSSI's SecNumCloud SaaS 3.2 qualification, the most demanding in France, with over 360 requirements covering technical, operational and legal aspects. The platform is also ISO/IEC 27001:2022 certified and GDPR compliant, with no data transferred outside the European Union.

Customers give it a 4.7/5 rating on Capterra, Appvizer and GetApp.

A Wimi team handles the migration of your mailboxes from Gmail, Outlook or another service. The Palace of Versailles is among Wimi's client organizations.

Who is it for? Businesses and public administrations that want a sovereign email service connected to their collaborative tools, rather than one more piece of software aggregating mailboxes hosted elsewhere. HDS certification (health data) and DORA compliance (financial sector) also meet the requirements of regulated industries.

eM Client

eM Client is Mailbird's most direct competitor: a desktop email client that brings together email, calendar, tasks, notes, contacts and chat in a single application.

Its developer, eM Client s.r.o., is based in Prague, in the Czech Republic. The software runs on Windows and macOS, with Android and iOS apps.

eM Client connects to your existing accounts: Google Workspace, Office 365, Outlook or Exchange. It also offers message encryption and an optional AI assistant.

A free version covers 2 accounts on 1 device, for personal use only. Paid licenses are available as an annual subscription or a one-time purchase.

Like Mailbird, eM Client remains a client: it does not provide the mailbox. The location of your data therefore depends on the host you use, whether Google, Microsoft or another provider.

Who is it for? Mailbird users who want the same experience on their computer, with Android and iOS apps. The switch happens without changing your address or email provider.

Proton Mail

Proton Mail is an email service headquartered in Switzerland. It relies on end-to-end encryption and on "zero-access" encryption.

Proton Mail works on the web, on Windows, macOS and Linux, as well as on Android and iPhone.

To keep a desktop app, Proton Mail Bridge lets you use the mailbox in a standard email client. A free plan includes 1 GB of storage and 1 address, supplemented by the Mail Plus, Unlimited and Business plans.

End-to-end encryption applies fully between Proton users. According to Proton's documentation, emails sent to a non-Proton address are not end-to-end encrypted by default, but encrypted in transit.

For these external recipients, Proton offers "password-protected emails."

Who is it for? Individuals and small teams who put the privacy of their communications first. It delivers the most value when your contacts also use Proton.

Infomaniak Mail

Infomaniak Mail is an email service "managed and hosted in Switzerland," in eco-friendly data centers. It is part of a complete ecosystem: Calendar, Contacts, kMeet for video calls, kDrive (optional on some plans) and SwissTransfer.

You can import an external mailbox via IMAP, and iOS and Android apps are available.

Email is included in the kSuite Standard, Business and Enterprise plans, which provide 2, 5 or 10 addresses per user and unlimited email storage. A standalone Service Mail plan is also available, as well as a free plan.

Who is it for? Small and medium-sized businesses that want a simple suite hosted away from the big American providers. The pricing page caps plans at 300 users maximum: larger organizations should take this into account before committing.

Tuta

Tuta is a German email service based in Hanover, with data hosted in Germany. It applies "post-quantum" end-to-end encryption to emails, as well as to calendars and contacts.

Apps are available for Android, iOS, Windows, macOS and Linux, and their clients are open source.

Tuta offers a permanent free plan, the Revolutionary and Legend plans, as well as business plans. One thing to know before migrating: the service offers no IMAP access.

Tuta's official blog states, on February 18, 2026, that Tuta Mail cannot be integrated into Thunderbird via IMAP or CalDAV. You therefore have to use Tuta's apps, on the web, desktop or mobile.

Who is it for? Users who give top priority to encryption, even if it means giving up their usual email client. This choice is less suited to those who want to bring several providers together in one piece of software.

How do you choose your Mailbird alternative?

The right tool depends less on the advertised features than on your actual needs. Six criteria help you decide, from the most fundamental to the most practical.

  1. Client or mailbox? A client (Mailbird, eM Client) displays mailboxes hosted elsewhere. A mailbox (Wimi, Proton Mail, Infomaniak, Tuta) hosts your data: it determines where your messages live.
  2. Where is your data hosted? France, Switzerland, Germany or the United States: the hosting country determines how the GDPR applies and your exposure to the Cloud Act.
  3. Mobile use: check that a stable app exists on iOS and Android, not just a preview version.
  4. Native integrations: a collaborative calendar, video conferencing, file sharing and task management in one place save you from multiplying tools.
  5. Licensing model: subscription or one-time purchase, look at what each plan covers and what it excludes.
  6. Individual or team use: an organization needs centralized administration and its own domain names.

The two approaches often go together: a mailbox hosted in Europe can still be read in your usual client through IMAP (via Proton Mail Bridge at Proton), except with Tuta. If you are also comparing Microsoft software, our selection of Outlook client alternatives complements this comparison.

Why move from Mailbird to Wimi?

Three pain points come up in user reviews. The first is day-to-day reliability: syncing, sending, Office 365 invitations.

A review dated September 29, 2025 on Capterra France sums it up: "For business users coming from Outlook, some blocking bugs persist."

At Wimi, the mailbox and the Wimi Inbox app come from the same vendor, on desktop and mobile alike. Its CEO sums up what is at stake: "What good is an ultra-secure sovereign system if it is practically unusable?"

The second pain point concerns the licensing model: several reviews mention a "lifetime" license whose scope has changed, and support that is slow to respond. Wimi works on a per-user subscription and supports the migration of your mailboxes.

The third pain point involves data hosting. Changing email clients does not change the mailbox host, which is subject to the Cloud Act if it is American.

Wimi provides sovereign hosting of your emails in France, with SecNumCloud SaaS 3.2 qualification.

The same logic applies to mail servers, as our analysis of Microsoft Exchange alternatives shows. The best way to decide is still to test Wimi Mail with your teams.

FAQ

Is Mailbird free?

Mailbird offers a free version with no time limit, but its FAQ states that it "works with one email account." To manage several addresses, you need to upgrade to the Premium plan, as an annual subscription or a one-time purchase according to Mailbird's pricing page.

The free version is therefore best suited to personal use with a single address.

Can you keep Thunderbird or Outlook with Wimi Mail?

Yes. Wimi Mail is IMAP and SMTP compatible, so you can check your mailbox in Outlook, Apple Mail or Thunderbird, the free and open-source client.

You change hosts without forcing new software on your teams.

How do you retrieve your emails when leaving Mailbird?

If your accounts are set up with IMAP, your emails stay on the server of your provider: uninstalling Mailbird does not delete them. To switch mailboxes as well, Wimi offers a guided migration from Gmail, Outlook or another service.

Is there a free, open-source alternative to Mailbird?

Thunderbird, from the Mozilla family, is free and open source. It runs on Windows, macOS, Linux and Android, and offers a unified inbox to bring several accounts together, like Mailbird.

We did not include it in this comparison, which focuses on European solutions, and it remains a client: it does not change who hosts your emails, as our selection of Thunderbird alternatives points out.

Does switching email clients protect you from extraterritorial laws?

No. An email client only displays your messages: it is the mailbox host that determines which law applies to your data.
